Viewing Project Budgets

Depending on the award, the sponsor-approved budget may be:

  • A budget included by sponsor in the award
  • The proposed budget
  • A lump sum with no breakdown of budgeted costs

Note that the sponsor-approved budget is considered to be only the amount obligated for spending by the sponsor.

SAP and Kuali Coeus (KC) provide different views of the project budget:

  • SAP: Shows a total for each budget category, fed from the most recently posted budget version in KC
  • KC Award Budget: May show breakdown by budget period

Your actual expenses may not correspond to the General Ledger (G/L) categories shown in the budget. Some G/Ls in the budget are for budget purposes only and cannot be used for expenses. Others may be general catch-all categories. 

Child Accounts and Award Hierarchy

Award hierarchy includes parent and child accounts. Usually, parent accounts display the budget at the G/L classification level (for example, Personnel, Travel), and child accounts are set at a lump sum value. Some awards, such as NIH awards with carryforward restriction, may display the G/L classification at the child level and have a parent account with no dollar value or a lump sum value.
