Additional information on report requirements

MIT Standard Terms (apply unless Sponsor specifies otherwise)

  • A copy of any final report submitted to the sponsor should be provided to RAS at ospaward@mit.edu

Air Force Office of Scientific Research (AFOSR)

  • Requirements shall be specified in the Award document.
  • Technical reporting must be completed by the PI.
  • Final technical report must be submitted to RAS, using the email address ospaward@mit.edu, in addition to any recipients specified in award document.
  • Requirements may vary, but typically include
  • Financial Reporting required, completed by Sponsored Accounting.
  • Intellectual Property Reporting required, completed by RAS.
  • Property/Equipment Reporting may be required, completed by Property Office.

Army Research Office (ARO) and Army Research Laboratory (ARL)

  • Requirements specified on ARO Form 18 [website]
  • Technical reporting must be completed by the PI, and should be submitted online at http://extranet.aro.army.mil [website]
  • If submitted by email, all reports must include Standard Form (SF) 298 [website]
  • Final technical report must be submitted to RAS, using the email address ospaward@mit.edu, in addition to any recipients specified in award document.
  • Requirements may vary, but typically include
    • Annual reports due 30 days after July 31
    • Final report, due 90 days after closeout. 
  • Financial Reporting required, completed by Sponsored Accounting.
  • Intellectual Property Reporting required, completed by RAS.
  • Property/Equipment Reporting may be required, completed by Property Office.

Defense Advanced Research Projects Agency (DARPA)

Department of Energy (DOE) – Office of Science

  • Requirements will be specified in award document on form DOE F. 4600.2 [website]
  • Technical reporting must be completed by PI and will include annual Research Performance Progress Report  (RPPR), copies of journal-accepted articles, and final report. Special Status reports may also be required.  See DOE F. 4600.2 included with award for details.
    • RPPR due annually 90 days prior to next increment via DOE/PAMS system
    • Final report covering the entire project due 90 days after final expiration via DOE/PAMS.
    • Journal Article-Accepted Manuscript must be provided via DOE AN 241.3 (E-Link) [website].  PIs may use MIT’s publicly accessible repository at DSPACE@MIT [website] to create persistent links if desired: PI should coordinate with MIT Libraries.
  • Property/Equipment Reporting is completed by the Property Office: due 90 days after expiration
  • Financial Reporting is completed by Sponsored Accounting, quarterly 30 days after each reporting period, and final 90 days after the final expiration
  • Intellectual Property Reporting is completed by RAS: due 90 days after expiration

National Aeronautics and Space Administration (NASA)

Technical Reporting

  • A Progress Report describing accomplishments during the reporting period is due annually 60 days before the anniversary date of the grant, except for the final year.
  • A Summary of Research or Educational Activity Report is due within 90 days after the expiration date of the grant, regardless of whether or not support is continued under another grant.

Property/Equipment Reporting

  • An annual Inventory Report, to be received no later than October 15, must list all reportable non-exempt equipment and/or Federally owned property in MIT’s custody as of September 30. If there is no reportable equipment, annual Inventory Reports are not required.
  • A Final Inventory Report of Federally Owned Property, including equipment where title was taken by the Government, must be submitted no later than 60 days after the expiration date of the grant. Even if there is no reportable equipment, Final Inventory Reports are required.
  • An annual NASA Form 1018, NASA Property in the Custody of Contractors, to be received by October 15, must cover the period from October 1 to September 30. The original NF 1018 shall be submitted to the center Deputy Chief Financial Officer (Finance) with three copies sent concurrently to the center Industrial Property Officer. Negative reports (i.e. no reportable property) are required.
  • A Final NF 1018 report is required within 30 days after expiration of the agreement.

Financial Reporting

  • A Federal Cash Transactions Report (SF 425), and, when applicable, a Continuation Sheet (SF 425) must be submitted electronically to DHHS/PMS within 30 working days following the end of each Federal Fiscal quarter (i.e., December 31, March 31, June 30, and September 30).
  • A final SF 425 in electronic or paper form must be submitted to NASA within 90 calendar days after the expiration date of the grant. The final SF 425 shall pertain only to the completed grant and shall include total disbursements from inception through completion. The report shall be marked “Final”

National Endowment for the Humanities (NEH)

  • Under Construction

National Institutes of Health (NIH)

  • Research Performance Progress Report (RPPR) due annually 45 days prior to award anniversary date.
  • A financial status report is due annually for awards that do not fall under expanded authorities (i.e., P50, P60, P30, T32 and others)
  • At the close, three reports are due 90 days after award expiration: Final Technical Report, Final Invention Statement, Final Financial Report. The PI should upload the Final Technical Report directly to eRA Commons.

National Oceanic and Atmospheric Administration (NOAA)

  • All reports must be submitted via Grants Online by the PI.
  • Progress Report due annually 90 days prior to award anniversary date.
  • Final Report is due 90 days after award expiration, and replaces the final annual report.

National Science Foundation (NSF)

  • Research Performance Progress Report (RPPR) due annually 90 days prior to award anniversary date.
  • Final RPPR is due 90 days after award expiration, and replaces the final annual report.
  • Project Outcomes Report for the general public also due 90 days after award expiration
  • All reports must be submitted via Research.gov by the PI.

Office of Naval Research (ONR)

  • Requirements shall be specified in the Award document.
  • Technical reporting must be completed by the PI.
  • Final technical report must be submitted to ospaward@mit.edu in addition to any recipients specified in award document.
    • Final reports, if required, must be submitted no later than 90 days after end date of the period..
    • Final reports must be cumulative (cover entire project, not just period since last interim report). 
    • All Technical reports shall include a completed Standard Form (SF) 298 [website], block 12A filled out with “Approved for Public Release; Distribution is Unlimited”.
  • Financial Reporting required, completed by Sponsored Accounting.
  • Intellectual Property Reporting required, completed by RAS.
  • Property/Equipment Reporting may be required, completed by Property Office.
